The Walt Disney World Swan & Swan Reserve offers an elevated, modern setting in the center of the Walt Disney World Resort.
With views of surrounding lakes and easy access to EPCOT, Disney’s BoardWalk, and nearby dining and entertainment, attendees can enjoy a vibrant atmosphere just steps from the hotel.
All conference programming including sessions, networking events, and the evening gala will take place entirely within the Swan Reserve’s dedicated meeting spaces.

Travel & Accommodations for Evolve Health Attendees

Transportation
Evolve Health will reimburse flights from Texas travelers up to $425 via Rippling based on current round trip prices. Parking and or Valet will be paid for all attendees staying at or driving to the venue.
Accommodations
Evolve Health will cover hotel rooms and resort fees for up to three nights at the Walt Disney World Swan Hotel. Employees attending the conference will not need to use PTO. Offices will remain open for staff who are not attending.
Guests
Guests are welcome to join you for the weekend to enjoy the resort, Orlando, and nearby attractions. However, they may only attend one official conference event: the Annual Gala, as your designated plus-one. All other conference programming, including the Annual Meeting, is limited to employees only.
On-Site Amenities
The Swan & Dolphin Resort offers a variety of on-site amenities for guests, including dining, recreation, and childcare services such as Camp Dolphin, a supervised children’s program.

Gala Transportation Information
Please note that the Swan Reserve is a short walk from the back of the Swan, and guests are encouraged to walk when possible. For those who require assistance, a hotel shuttle will be available between 5:45–6:45 PM and 9:30–10:30 PM. Please note the shuttle is a shared 10–12 passenger van with limited capacity, so wait times may occur.

What to Wear for Each Day of the Conference
Attire Guidelines
Thursday (Casual)
Wear comfortable clothing suitable for travel and light activities. This day is focused on arrivals and settling in, so relaxed attire is completely appropriate.
Friday (Business Casual)
Friday morning sessions call for polished but relaxed professional attire. Think slacks, blouses, button-downs, or similar clothing that feels presentable without being overly formal.
Saturday (Formal Evening)
Saturday night is our formal gala. Cocktail dresses, suits, or evening wear are encouraged.
Sunday (Casual)
The final day is casual and comfortable. Choose relaxed attire appropriate for wrap-up activities and travel home.

Where is the Vendor Exhibition being held?
The Vendor Exhibition will take place in Harbor Rooms 1–3 at the Swan Reserve.
When is the Vendor Exhibition Hall?
The Vendor Exhibition Hall will take place on Friday, April 10th from 12:00 PM – 5:00 PM.
What is included with my exhibit space?
All vendors will receive a 6-foot table with a table skirt and two chairs. Platinum and Gold sponsors will receive preferred table locations and upgraded 10-foot tables. All other exhibitors will be assigned space on a first come, first served basis.
What time is vendor setup and breakdown?
- Setup: Begins at 8:00 AM
- Exhibition Hours: 12:00 PM – 5:00 PM
- Breakdown: Begins at 5:00 PM
Who is invited to attend the Vendor Exhibition and other conference events?
Vendors are invited to participate in the Vendor Exhibition Hall.
Additional access includes:
- Platinum Sponsors: 10-minute speaking opportunity at the end of our internal conference meeting
- Platinum & Gold Sponsors: Access to the Annual Gala
All other portions of the conference are reserved for internal attendees.
How many attendees will be at the event?
The exhibition will include approximately 40 providers and 25 members of our executive and administrative leadership team.
Is the exhibit space carpeted?
Yes, the exhibit space is fully carpeted.
Will electrical access be available?
Yes. The exhibition space has several electrical outlets throughout the room. However, because this is a tabletop exhibit setup, we recommend that vendors bring long extension cords and any necessary power strips to ensure they can comfortably reach a power source. Please note that large or high-powered electrical equipment may not be supported within the exhibition space.
Will Wi-Fi be available?
Yes. Complimentary Wi-Fi will be available through the network SDRconnect (password: freewifi).
Please note this is shared, basic Wi-Fi and is best suited for general use such as email. If you require a stronger connection for presentations or demos, we recommend coordinating directly with XpoDigital to ensure it meets your needs.
Can I ship materials to the venue?
Yes. Please refer to the official shipping guidelines provided by the Swan Reserve for instructions and requirements here.
Are hotel accommodations included?
No. Lodging must be arranged individually. Evolve Health is not providing hotel accommodations and does not currently have a discounted room block for this event. Vendors are welcome to book directly with the Swan Reserve or nearby hotels.
